BalanceU Kiosk

Meal Plan Transactions Made Simple.
Made for iPad.

What it is

An iPad on the line.

BalanceU Kiosk is a native iPadOS application that turns an iPad into a self-service check-in kiosk for dining halls, cafeterias, and any program that needs closed loop payments against your meal program. Mounted at each station, it reads a users ID credential, applies your meal-plan or program business rules, and returns instant on-brand feedback.

  • A self-service kiosk for credentialed access.
  • Single declining-balance redemption — one swipe, one location, one meal.
  • Meal exchange, equivalency, and point-redemption logic, applied at the station.
  • An on-brand check-in flow that staff can switch into cashier-assisted mode when needed.

The full deployment.

The optional magnetic stand cradles iPad Pro and powers it through the Smart Connector — so the USB-C port stays free for your peripheral reader.

  • Smart Connector charging — no cable, no extra port
  • USB-C left open for the HID Plug or your reader of choice
  • Weighted base for countertop stability
  • Snaps off in seconds for staff handoff or cleaning

This set up requires iPad Pro 11″ or 13″ (M4 or M5).

Three reader modes

One app. Whatever hardware you already have.

Configure each kiosk for the reader at the station. The guest-facing flow is identical across all three.

Tap

NFC · CONTACTLESS

Guests tap their physical card or mobile credential. Dual-ring pulse animates around a contactless icon while the read completes.

Swipe

Magnetic stripe

For legacy magstripe-equipped stations. Animated chevrons slide across a card-slot visual to direct the swipe.

QR & barcode

Live camera preview

Corner brackets pulse around the camera feed. Supports QR, EAN-8/13, Code 128, Code 39, and PDF 417 out of the box.

An HID Plug accessory connected directly to the iPad running BalanceU Kiosk — no countertop reader required.

Full HID Plug support. No bulky reader needed.

A discreet HID accessory plugs straight into the iPad’s USB-C port. No external power. No extra cables. No countertop hardware competing for attention.

Two presentation modes

Quiet by default. Loud when staff need it.

Self-service drawer: a green checkmark next to ‘Welcome, Jordan’ with ‘Enjoy your lunch.’, lunch meal used at Wise & Well — Vegan Salad Bar, and a Meals Remaining count of 13.
Self-service

A calm confirmation drawer.

The default for unattended kiosks. Guests tap, see a colour-coded confirmation, and move on. No staff in the loop.

Cashier-assisted drawer: the guest’s photo, name ‘Jordan Keane’, student ID, year and major, the meal-swipe confirmation, plus a meals-this-week count and a dining-dollars balance.
Cashier-assisted

The same drawer, expanded.

The drawer opens further to show the guest’s photo, name, plan, and balances — so staff can verify identity visually. Same hardware. Different presentation.

Meal-plan logic, done right

One swipe per meal period.
The rest gets logged.

BalanceU Kiosk auto-detects the current meal period from time of day and applies the right rule.

  • First tap deducts the swipe and records the station
  • Subsequent taps in the same period log as visits — traffic data, no deduction
  • Distinct error states: no meals remaining, plan expired, outside meal hours, reader offline
  • Server is authoritative — the kiosk never deducts from a cached balance
Meal logged Breakfast · Hill Hall · 12 remaining
Visit logged Already swiped this period · no deduction
Outside meal hours Lunch opens at 11:00 AM
And everything else admins expect

Built like the rest of campus runs.

Multi-tenant by domain

First screen asks for your organization’s domain. SSO lives behind it. The app skins to your institution’s colors, logos, and station data — no code changes per tenant.

Adaptive layout

iPad landscape, iPad portrait — one app, two form factors. Station name, reader graphic, and full-bleed photo recompose for each.

Hidden staff access

A discreet PIN-protected gesture summons the admin screen. Default PIN configurable per kiosk. Guests never see an admin button.

Offline-first

Tap queue persists locally when the network is down. Background sync retries automatically. “Reader offline” surfaces clearly to the guest.

Built for fleet operations

Single App Mode / Guided Access ready. MDM-deployable. 30-second heartbeats to your admin console. Fleet-wide health, traffic, and audit logging out of the box.

Audible feedback

Distinct tones for accepted swipes, denied swipes, and outside-meal-period scans — so staff and guests hear the result without looking at the screen.

INTENTIONALLY BUILT

What it isn’t.

  • Not a full POS — it doesn’t ring up items, take open-amount payment, or split tender.
  • Not a register replacement at retail or convenience locations.
  • Not an open-loop payments terminal.

Bring self-service to campus.
